We’re looking for a highly organized Administrative Coordinator to support two partners at a busy professional services firm. This role blends executive support, light project coordination, and client-facing responsibilities.

What You’ll Do:

  • Track budgets and prepare monthly budget-vs-actual reports using Excel.
  • Monitor incoming mail, route items to the right contacts, and help manage client tax notices.
  • Draft simple notice responses, obtain signatures, and occasionally coordinate with state agencies.
  • Manage partner calendars, schedule recurring and last-minute meetings, and prep materials for client calls.
  • Send proactive reminders on deadlines, filings, and ongoing projects.
  • Assist with special tasks such as reviewing statements, preparing onboarding materials, drafting basic agreements, researching tax items, and securing EINs/Tax IDs.
  • Serve as a key point of contact for the partners—handling inquiries, correspondence, and helping resolve issues before they escalate.

What You Bring:

  • 3–4 years of administrative experience (tax/accounting firm experience a plus).
  • Strong Excel and Microsoft Office skills.
  • Comfort working in a fast-paced, detail-driven environment with shifting priorities.
  • Bonus: familiarity with basic accounting or tax principles.
